Alerts4Dynamics (Preferred App on Microsoft AppSource) is a handy app that helps you to create and manage alerts and notifications within Dynamics 365 CRM and Power Apps. In our previous blogs we have given you a brief insight about different types of alerts – Record-Based Alerts and Rule-Based Alerts. In this blog, you will be acquainted with yet another type of alert – Event-Based Alerts.
So, what are Event-Based Alerts?
With Alerts4Dynamics, you are given a provision to show an alert with respect to any event that happens in Dynamics 365 CRM. For example, notifying or alerting CRM users about the creation of a new record of a particular entity, about the receipt of an overdue payment or about winning an Opportunity and so on. With the help of Event-Based Alerts all of these events can be duly notified to the respective Dynamics 365 CRM users.
For better understanding, let’s consider a scenario where you want to send alerts to your team members once a new Account is created. In order to do this, the first step is to ‘Enable Entity Configuration’ for the ‘Account’ entity. Next, create a workflow where you will define the alert audiences to make sure who will receive this alert notification. Eventually, on creation of a new account, an alert would be sent in the form of the selected ‘alert as’ options; Pop-ups, Email or Form notification post successful activation of the workflow. So now your team members will get regular alerts whenever a new record is created in the Account entity.
That’s not all, another interesting factor about Event-Based Alerts is that you can configure alerts where the entity on which the notification to be shown is different from the entity where the workflow is triggered. Further, you can also send alerts and notifications to audiences of related records which are in ‘One to Many’, ‘Many to One’ or ‘Many to Many’ relationships.
For example, you want to show notifications and send emails to the multiple contacts associated with an overdue invoice once it gets paid. Here, the workflow will be created for Invoice and the notification will be shown on related Account and further the email notification will be sent to all the contacts that are associated with the Account. So, all you have to do is to create a workflow that will trigger when the status of the record (Invoice) is changed, select alert level and mode of alert, select Record URL of Account entity, select the respective audiences to whom the email alert will be sent, type relevant message for the audience, and finally activate the workflow.
Now, when the invoice is paid and its status is updated, an alert will be displayed on the Account.
And an email will be sent out informing about the receipt of payment to all the contacts that are associated to this Account.
