Many organizations need their portal users to attach documents that get stored in CRM but can be easily accessed from the portal for effortless information flow.<\/p>\n<h4 style=\"text-align: justify;\"><strong>Steps to attach documents from Microsoft Portal:<\/strong><\/h4>\n<p style=\"padding-left: 30px;\"><strong>1<\/strong>. To view the notes area on the portal, we need to have the notes area present in the Dynamics 365 form that is used in the portal\u2019s Entity form.<a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal1.png\"><img decoding=\"async\" class=\"alignnone wp-image-6703\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal1.png\" alt=\"Attach Documents from Microsoft Dynamics 365 Portal\" width=\"824\" height=\"293\" \/><\/a>As seen in the above screenshot, we have a custom CRM form <strong><em>\u2018Portal Web Form\u2019<\/em><\/strong>\u00a0 where the notes area is present in the <strong><em>\u2018tab_Docs\u2019<\/em><\/strong> tab to attach notes for the logged in portal user contact.<\/p>\n<p style=\"padding-left: 30px;\">While configuring the CRM form and adding notes in the section, select <strong><em>Notes<\/em><\/strong> in the <strong><em>Default Tab<\/em><\/strong> section as shown in the screenshot below;<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal2.png\"><img decoding=\"async\" class=\" wp-image-6704 aligncenter\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal2.png\" alt=\"Attach Documents from Microsoft Dynamics 365 Portal\" width=\"412\" height=\"380\" \/><\/a><\/p>\n<blockquote><p><strong><em>Note: <\/em><\/strong>By default, the <strong><em>Tab<\/em><\/strong> is set to <strong><em>Activities<\/em><\/strong>.<\/p><\/blockquote>\n<p style=\"text-align: justify; padding-left: 30px;\">This will just show the notes section on the portal. To be able to attach Notes from the portal, further customization of <em>Entity Form<\/em> is needed.<\/p>\n<p style=\"padding-left: 30px;\">If you scroll down on the <strong><em>\u2018NotesAttachment<\/em><\/strong>\u2019 Entity Form (shown in the first screenshot) you will find a section named <strong><em>\u2018Add Attach File\u2019<\/em><\/strong> as shown in the screenshot below;<\/p>\n<p style=\"padding-left: 30px;\"><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal3.png\"><img decoding=\"async\" class=\"wp-image-6705 aligncenter\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal3.png\" alt=\"Attach Documents from Microsoft Dynamics 365 Portal\" width=\"738\" height=\"71\" \/><\/a><\/p>\n<p style=\"padding-left: 30px;\">The options available are as follows:<\/p>\n<p style=\"padding-left: 60px;\"><strong>a. Attach File:<\/strong> This allows the user to attach documents from the portal as shown below;<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal4.png\"><img decoding=\"async\" class=\" wp-image-6707 aligncenter\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal4.png\" alt=\"Attach Documents from Microsoft Dynamics 365 Portal\" width=\"320\" height=\"140\" \/><\/a><\/p>\n<p style=\"padding-left: 60px;\"><strong>b. Attach File Save Option:<\/strong> Choosing this as <strong><em>\u2018Notes\u2019<\/em><\/strong> allows the user to attach the documents as an attachment to the Notes.<\/p>\n<p style=\"padding-left: 60px;\"><strong>c. Allow Multiple Files:<\/strong> This allows the user to attach multiple documents at one go.<\/p>\n<p style=\"padding-left: 60px;\"><strong>d. Attach File Storage Location: <\/strong>This allows the user to define the storage location of the attachments.<\/p>\n<p style=\"padding-left: 30px;\"><strong>2<\/strong>. To view the attached documents on the portal, we need to add Entity Permission for the Notes Entity. The Web Role associated to the Portal Contact should also be associated with this Entity Permission as shown in the screenshot below;<\/p>\n<p style=\"padding-left: 30px; text-align: center;\"><img decoding=\"async\" class=\"alignnone wp-image-6708\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal5.png\" alt=\"Attach Documents from Microsoft Dynamics 365 Portal\" width=\"789\" height=\"307\" \/><\/p>\n<p>&nbsp;<\/p>\n<p style=\"padding-left: 30px;\"><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal6.png\"><img decoding=\"async\" class=\"wp-image-6709 aligncenter\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal6.png\" alt=\"Attach Documents from Microsoft Dynamics 365 Portal\" width=\"541\" height=\"336\" \/><\/a>The attached documents can be seen from the portal as shown in the screenshot below;<\/p>\n<p style=\"padding-left: 30px;\"><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal7.png\"><img decoding=\"async\" class=\"wp-image-6710 aligncenter\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal7.png\" alt=\"Attach Documents from Microsoft Dynamics 365 Portal\" width=\"497\" height=\"379\" \/><\/a><b>3<\/b>. The notes are saved in CRM with the description as <strong><em>*WEB*<\/em><\/strong>. So, if we create a note in CRM with the description containing <strong><em>*WEB*<\/em><\/strong>, that note can be viewed in the portal.<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal8.png\"><img decoding=\"async\" class=\"wp-image-6711 aligncenter\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal8.png\" alt=\"Attach Documents from Microsoft Dynamics 365 Portal\" width=\"579\" height=\"376\" \/><\/a><\/p>\n<p>&nbsp;<\/p>\n<h4 style=\"text-align: justify;\"><strong>Additional Customization:<\/strong><\/h4>\n<p style=\"text-align: justify;\">Usually, on successful completion of attaching a document, we get a success message as seen in the screenshot below;<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal9.png\"><img decoding=\"async\" class=\" wp-image-6712 aligncenter\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal9.png\" alt=\"Attach Documents from Microsoft Dynamics 365 Portal\" width=\"274\" height=\"104\" \/><\/a><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: justify;\">To redirect the page on successful attachment of a document, we need to change the <strong><em>\u2018On Success Settings\u2019<\/em><\/strong> from <strong><em>\u2018Display Success Message\u2019<\/em><\/strong> to <strong><em>\u2018Redirect\u2019<\/em><\/strong> as shown in the screenshot below;<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal10.png\"><img decoding=\"async\" class=\"wp-image-6713 aligncenter\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2017\/10\/Attach-Documents-from-Microsoft-Dynamics-365-Portal10.png\" alt=\"Attach Documents from Microsoft Dynamics 365 Portal\" width=\"778\" height=\"414\" \/><\/a><\/p>\n<p>Set the <strong><em>Web Page<\/em><\/strong> same as the one used to show the Notes, so that on the successful attachment of the documents, the page is redirected.<\/p>\n<h4 style=\"text-align: justify;\"><strong>Conclusion:<\/strong><\/h4>\n<p style=\"text-align: justify;\">By following the steps mentioned above, we can easily attach documents from the Portal for later use.
