This blog post will be dedicated towards making sure the columns available in the Excel worksheet to create\/update data are tailored as per the organization\u2019s need.<\/p>\n<p style=\"text-align: justify;\">After following the steps mentioned in our <a href=\"https:\/\/www.inogic.com\/blog\/2020\/02\/new-way-for-creating-and-updating-records-in-dynamics-365-crm\/\" target=\"_blank\" rel=\"noopener noreferrer\">previous blogpost<\/a>, you\u2019d have downloaded the Excel that can be used to edit data in Dynamics 365 CRM. Now, let us see how to design it as per the requirement.<\/p>\n<p>At first, you will be presented with the below options. However, seeing all the columns is not an ideal solution for data entry. Publish is a mandatory step to upload\/sync the data with Dynamics 365 CRM.<\/p>\n<ul>\n<li><strong>Available fields<\/strong><\/li>\n<\/ul>\n<p>This will list down all the fields that are currently not there on the Excel worksheet.<\/p>\n<ul>\n<li><strong>Selected fields<\/strong><\/li>\n<\/ul>\n<p>This will list down all the fields that are there on the Excel worksheet.<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2020\/12\/Design-Mode-Edit-Data-in-Excel-8.png\" target=\"_blank\" rel=\"noopener noreferrer\"><img decoding=\"async\" class=\"aligncenter wp-image-25969 size-full\" style=\"border: 1px solid #0a0a0a; padding: 1px; margin: 1px;\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2020\/12\/Design-Mode-Edit-Data-in-Excel-8.png\" alt=\"Design Mode \u2013 Edit Data in Excel\" width=\"312\" height=\"319\" srcset=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2020\/12\/Design-Mode-Edit-Data-in-Excel-8.png 312w, https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2020\/12\/Design-Mode-Edit-Data-in-Excel-8-293x300.png 293w\" sizes=\"(max-width: 312px) 100vw, 312px\" \/><\/a><\/p>\n<p>Let us look at each of the options available in detail,<\/p>\n<ul>\n<li><u>Add<\/u><\/li>\n<\/ul>\n<p style=\"text-align: justify;\">Once you select a field in the <strong>Available fields<\/strong> section, the <strong>Add<\/strong> button will be enabled and the user can add a field form the <strong>Available fields<\/strong> to <strong>Selected fields<\/strong>.<\/p>\n<ul>\n<li><u>Formula<\/u><\/li>\n<\/ul>\n<p style=\"text-align: justify;\">It adds the calculated field to the list. You can perform various math equations like Concatenate, Sum, etc. on the columns that we get from Dynamics 365 CRM.<\/p>\n<p><strong><em>Note:<\/em><\/strong><em> You can use Excel Formulas.<\/em><\/p>\n<ul>\n<li><u>Remove<\/u><\/li>\n<\/ul>\n<p style=\"text-align: justify;\">If you want to remove any field from the <strong>Selected fields<\/strong>, you need to select the corresponding field and hit <strong>Remove<\/strong>. It will move that field to the <strong>Available fields<\/strong> section.<\/p>\n<ul>\n<li><u>Up<\/u> and <u>Down<\/u><\/li>\n<\/ul>\n<p>These two buttons allow the sorting of the fields, and the columns in the Excel worksheet will be sorted accordingly.<\/p>\n<ul>\n<li><u>Read-only<\/u><\/li>\n<\/ul>\n<p>The selected column would be a read only meaning the user will not be able to add value to it.<\/p>\n<ul>\n<li><u>Read-only for new records<\/u><\/li>\n<\/ul>\n<p>The selected column would be read only till the time data is not published.<\/p>\n<p>Step 4: Once the necessary changes are done click on <strong>Update<\/strong> and then on the next screen at <strong>Done<\/strong>.<\/p>\n<p>Step 5: You have the modified Excel worksheet ready to be used.<\/p>\n<p><em>Note: <\/em><\/p>\n<ul style=\"text-align: justify;\">\n<li><em>While removing the unwanted attributes do not remove the attribute having key beside it (That is the primary key field of the entity). Removing this field will disable the Publish option.<\/em><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2020\/12\/Design-Mode-Edit-Data-in-Excel-9.png\" target=\"_blank\" rel=\"noopener noreferrer\"><img decoding=\"async\" class=\"aligncenter wp-image-25970 size-full\" style=\"border: 1px solid #0a0a0a; padding: 1px; margin: 1px;\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2020\/12\/Design-Mode-Edit-Data-in-Excel-9.png\" alt=\"Design Mode \u2013 Edit Data in Excel\" width=\"241\" height=\"31\" \/><\/a><\/li>\n<li><em>Users with a non-admin security role can also modify the excel workbook. <\/em><\/li>\n<li><em>Kindly do not try deleting columns directly in the Excel worksheet as a workaround to the steps mentioned in this blog.
