While you can use Office 365 Groups for collaborative storage, SharePoint can be used for public documents.<\/p>\n<p style=\"text-align: justify;\">For instance, when there is a need to work on a document which is often used in the Sales department you can opt for <b>\u2018OneDrive for Business\u2019<\/b>. With this storage option the documents are stored and are synced to desktop and mobile devices. Now it\u2019s easy to work on documents with others in your organization at the same time.<\/p>\n<p style=\"text-align: justify;\">In Dynamics CRM 2016 Online, there is a new feature <b>\u2018<\/b><b>Enable OneDrive for Business\u2019<\/b> in the Document Management which helps us to integrate OneDrive with the CRM as shown below.<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image002.jpg\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image002\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image002_thumb.jpg\" alt=\"One drive for crm\" width=\"626\" height=\"223\" border=\"0\" \/><\/a><\/p>\n<p>If you directly click <b>\u2018Enable OneDrive for Business\u2019<\/b> and try to enable the feature you won\u2019t be able to do so. Instead, the system will direct you to a popup as shown in the screenshot below.<a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image004.jpg\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image004\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image004_thumb.jpg\" alt=\"one drive for business\" width=\"630\" height=\"292\" border=\"0\" \/><\/a><\/p>\n<p>The popup asks you to enable server-based integration and have at least one active SharePoint Site in order to use this feature.<\/p>\n<p>So make sure you have integrated SharePoint with CRM by the Server Based method.<\/p>\n<p>Later, once you have integrated SharePoint, the CRM returns back to the screen where you can click <b>\u2018Enable OneDrive for Business\u2019<\/b> again.<\/p>\n<p>If the user does not have License for OneDrive then he\/she may face the error as below.<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image0061.jpg\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image006\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image006_thumb1.jpg\" alt=\"one drive for business in crm\" width=\"629\" height=\"248\" border=\"0\" \/><\/a><\/p>\n<p>So make sure that the user has the License for using this product. In our case we will assign the Office 365 Enterprise E5 to the user.<\/p>\n<p>Next, again click <b>\u2018Enable OneDrive for Business\u2019<\/b> from the <b>\u2018Settings\u2019<\/b> <b>&gt;&gt;<\/b> <b>\u2018Document Management\u2019<\/b> as shown below.<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image0081.jpg\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image008\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image008_thumb1.jpg\" alt=\"enable onedrive for business\" width=\"573\" height=\"314\" border=\"0\" \/><\/a><\/p>\n<p>Even then you might not proceed ahead and you would face an error.<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image0101.jpg\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image010\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image010_thumb1.jpg\" alt=\"onedrive for business\" width=\"630\" height=\"302\" border=\"0\" \/><\/a><\/p>\n<p>Now, this issue arises as you don\u2019t have the OneDrive app ready for use. So, you need to configure OneDrive by following the steps as below.<\/p>\n<p>1. Go to portal office page i.e. <a href=\"https:\/\/portal.office.com\">https.\/\/portal.office.com<\/a><\/p>\n<p>2. Click on the below highlighted part to select the OneDrive app as you can see below.<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image012.jpg\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image012\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image012_thumb.jpg\" alt=\"onedrive app\" width=\"630\" height=\"365\" border=\"0\" \/><\/a><\/p>\n<p>3. It will redirect you to the start page of the OneDrive where we will configure the OneDrive for the first time.<\/p>\n<p>4. After it is configured the OneDrive app would open as shown in the screenshot below.<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image014.jpg\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image014\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image014_thumb.jpg\" alt=\"onedrive app in crm\" width=\"630\" height=\"301\" border=\"0\" \/><\/a><\/p>\n<p>Now again navigate to <b>\u2018Settings\u2019<\/b> <b>&gt;&gt; \u2018Document Management\u2019 &gt;&gt; \u2018Enable One Drive for Business\u2019<\/b>.<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image016.jpg\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image016\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image016_thumb.jpg\" alt=\"enable onedrive in dynamics crm\" width=\"582\" height=\"304\" border=\"0\" \/><\/a><\/p>\n<p>After it has been successfully enabled you will see a new option in <b>\u2018Document Management\u2019<\/b>.<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image018.jpg\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image018\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image018_thumb.jpg\" alt=\"onedrive for business folder settings\" width=\"564\" height=\"323\" border=\"0\" \/><\/a><\/p>\n<p>Now the OneDrive Folder Settings can be configured by clicking on the \u2018<b>OneDrive for Business Folder Settings\u2019. <\/b>The system will then direct you to<b> <\/b>a popup on the system.<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image020.jpg\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image020\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image020_thumb.jpg\" alt=\"onedrive for business folder settings in crm\" width=\"581\" height=\"290\" border=\"0\" \/><\/a><\/p>\n<p>Here you can specify the folder name which OneDrive will use to store the data.<\/p>\n<p>Let\u2019s keep it as <b>\u2018MSCRM DATA\u2019<\/b>. Next, everything is done once you have clicked <b>\u2018OK\u2019<\/b>.<\/p>\n<p>Now, let\u2019s navigate to an Existing Account Record and go to <b>\u2018Documents\u2019<\/b>.<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image022.jpg\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image022\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image022_thumb.jpg\" alt=\"onedrive in crm 2016\" width=\"549\" height=\"341\" border=\"0\" \/><\/a><\/p>\n<p>It will ask to create a folder in SharePoint. Once you have clicked <b>\u2018Confirm<\/b>\u2019, a folder will be created in SharePoint under Accounts. This folder is usually created when we integrate Dynamics CRM &amp; SharePoint.<\/p>\n<p><b>Now let\u2019s see how you could upload files in OneDrive.<\/b><\/p>\n<p>For instance, if want to upload an image in this Document Library Location then click <b>\u2018Upload\u2019<\/b> to select the file.<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image024.jpg\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image024\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image024_thumb.jpg\" alt=\"upload documents in onedrive\" width=\"629\" height=\"307\" border=\"0\" \/><\/a><\/p>\n<p>Once you have selected the file to be uploaded, then you can see the CRM Folder option.<\/p>\n<p>Select the OneDrive option and Click <b>\u2018OK\u2019<\/b>.<\/p>\n<p>You may get the popup as shown below just in case you are uploading the file for the first time.<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image026.jpg\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image026\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image026_thumb.jpg\" alt=\"onedrive in crm 2016\" width=\"630\" height=\"294\" border=\"0\" \/><\/a><\/p>\n<p>Click <b>\u2018Continue\u2019<\/b> and it will create the folder \u2018<b>MSCRM DATA<\/b>\u2019 (which we specified earlier) under the Files section in the OneDrive and the file will be uploaded at the<b> \u2018MSCRM DATA\/Account\/AccountName_AccountGuid\u2019<\/b>.<\/p>\n<p>It will then appear as shown below:<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image027.png\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image027\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image027_thumb.png\" alt=\"upload documents in onedrive\" width=\"632\" height=\"195\" border=\"0\" \/><\/a><\/p>\n<p>To view the image which has been uploaded, click \u2018Open Location\u2019 to open the path where the uploaded file is stored as shown below<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image029.jpg\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image029\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image029_thumb.jpg\" alt=\"dynamics crm - onedrive\" width=\"630\" height=\"237\" border=\"0\" \/><\/a><\/p>\n<p>Besides, you can see below that there is a new Privilege option \u2018<b>OneDrive for Business<\/b>\u2019 which can help you to control OneDrive in the Dynamics CRM.<\/p>\n<p>Navigate to <b>\u2018<\/b><b>Settings\u2019 &gt;&gt; \u2018Security\u2019 &gt;&gt; \u2018Security Roles\u2019<\/b><\/p>\n<p>Select a security role, and then click the \u2018<b>Core Records\u2019<\/b> tab.<\/p>\n<p>Under the Miscellaneous Privileges, you can find the <b>\u2018OneDrive for Business\u2019<\/b> privilege as shown in the screenshot below.<\/p>\n<p><a href=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image031.jpg\"><img decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"clip_image031\" src=\"https:\/\/www.inogic.com\/blog\/wp-content\/uploads\/2016\/03\/clip_image031_thumb.jpg\" alt=\"security roles \" width=\"534\" height=\"321\" border=\"0\" \/><\/a><\/p>\n<p><b>Some Advantages of OneDrive<\/b><\/p>\n<ul>\n<li>Since mobile devices are synced with this storage option, documents, and other digital content gets stored automatically on the storage space thereby keeping files secure in case of accidental hard disk failures.<\/li>\n<li>With OneDrive, you can access files from any location.
