Introduction<\/strong><\/h2>\n

The purpose of enabling\/disabling configured Related Records Filtering is that users can set lookup value from pre-defined filter criteria or simply uncheck the checkbox and see all records belonging to selected view from lookup.<\/p>\n

Earlier, when we wanted to search a record that doesn\u2019t have current Company Name lookup set on it, we used to do it from field properties(customization) for removing the configured related records filtering then only all contact record list displayed in lookup view.<\/p>\n

Let\u2019s see how to enable\/disable configured Related Records Filtering<\/strong> on Lookup.<\/p>\n

1. Only my records<\/strong><\/p>\n

This is the default filter for any Lookup field where user can filter Contact records owned by them with respect to the selected view.<\/p>\n

Once user checks \u201cOnly my records\u201d<\/strong> checkbox and respective view then only owned record of Contact will be displayed with respect to the selected view.<\/p>\n

2. Filter by related: Company Name<\/strong><\/p>\n

When user enables the Related Records Filtering option then only \u201cFilter by related: Company Name\u201d <\/strong>checkbox will appear.<\/p>\n

Follow the below steps to enable Related Records Filtering checkbox on Lookup.<\/p>\n

a. Navigate to Advanced Settings->Settings->Customization->Customise the System->Entities<\/p>\n

b. Select \u2018Account\u2019 Entity->Main Form<\/p>\n

c. Double click on Primary Contact Lookup field->Field Properties->Related Records Filtering->Check \u201cOnly show record\u201d<\/strong> checkbox with filter criteria as \u201cContacts(Company Name(Accounts))\u201d<\/strong>->Contains with \u201cCurrent Record\u201d<\/strong><\/p>\n

Once user enables the Related Records Filtering then \u201cFilter by related: Company Name\u201d<\/strong> checkbox will be displayed in Lookup.<\/p>\n

If \u201cUser can turn off the filter\u201d<\/strong> checkbox is checked then user can check\/uncheck the \u201cFilter By Related: Company Name\u201d <\/strong>checkbox on lookup. And if \u201cUser can turn off the filter\u201d<\/strong> checkbox is unchecked then \u201cFilter by related: Company Name\u201d<\/strong> checkbox will freeze on Primary Contact Lookup view i.e. checkbox will be non-editable.<\/p>\n

\u201cFilter by related: Company Name\u201d<\/strong> checkbox is checked by default if Related Records Filtering is enabled. After this, if user selects view from \u2018Change View\u2019 then those contacts records from the selected view will be displayed which has selected Company Name lookup set on it.<\/p>\n

\"Enhancement<\/p>\n

For example,<\/strong> A. DINA VEDMED & SONS<\/strong> is an Account and Alex Simmons, Amos Conger, Allison Brown <\/strong>are Active Contacts which have A. DINA VEDMED & SONS <\/strong>Account set in Company Name lookup.<\/p>\n

\"Enhancement<\/p>\n

When \u201cFilter by related: Company Name\u201d<\/strong> checkbox is checked and user selects \u2018Active Contacts\u2019 then the above mentioned Contact list will be displayed and when user unchecks \u201cFilter by related: Company Name\u201d <\/strong>checkbox then \u2018All Active Contacts\u2019 list will be displayed. It means you can remove the defined filter from Lookup itself. User can set \u2018Primary Contact\u2019 from \u2018All Contacts\u2019 and save the same but once user refreshes the records, only pre-defined Related Records Filtering will remain. No latest changes done on checkbox will be saved.<\/p>\n

When both \u201cOnly my Records\u201d<\/strong> and \u201cFilter by related: Company Name\u201d<\/strong> checkboxes are checked and user selects the view then records get filtered by owned record and selected Account set as Company Name lookup set on it.<\/p>\n

Note: Related Records Filtering can be enabled\/disabled for any OOB as well as Custom lookup fields.<\/strong><\/p>\n

Conclusion<\/strong><\/h2>\n

User can easily enable \/disable Related Records Filtering from lookup and search for record by selecting views.<\/p>\n
